    Miscellaneous

    2.) Controller’s Office announces new travel/expense module

We are pleased to announce we are implementing a new PeopleSoft Travel & Expense Module to replace our paper-based travel voucher system. All information is keyed directly into the T&E module in PeopleSoft, including all receipt documentation (which is scanned into the system and attached to the document). Highlights include:

    • Internet-based electronic workflow approval for supervisors and chartfield approvers – paper no longer sits on people’s desks while they are out of the office
    • Documents in system include travel authorizations (required for international travel and any time a cash advance is requested), cash advance requests (for international & student group travel), and travel expense reports
    • Improved visibility into travel expense types (per diem, checked bag fees, mileage, etc.) for more concise data analysis and capture of merchant information (hotel chain name, airline company, etc.)
    • Customized training will be provided for each college/school (on site in that college/school for convenience)

A phased rollout to departments began in July and it is expected that all university departments will be on the new system by Dec. 31. The Controller’s Office will contact the lead business person in each college or school three to four weeks in advance to schedule the implementation.
